TERMS Conditions

Rates & Currencies

All prices and rates are quoted in South African Rand (ZAR) or US Dollars. Prices are subject to change without prior notice. Payment in approved foreign currency will be accepted at the rate of exchange applied at the time of receipt of payment. Any shortfall resulting from exchange rate fluctuations will be the clients’ responsibility.

Deposits & Payments

The Client shall pay a non-refundable deposit of 20-30% of the total booking value in order to secure the booking. All bookings will be held provisionally until payment of the deposit requested has been received by ALWAYS AFRICA.

Balance of payment is required sixty (60) days prior to commencement of services.

Certain exceptions will apply with regards to deposits:

– should any of the suppliers’ conditions differ from the above – should seasonal deposits be required

N.B. Bookings made thirty (30) to sixty (60) days prior to travel must be paid in FULL immediately. Should full payment not be received on the due date, prior to clients’ arrival, the tour will not start until such time as the full payment is received

Payment shall be made in the currency in which the quotation was accepted and invoice was issued. All payments shall be made to ALWAYS AFRICA and Bank charges will be the client’s responsibility.

Cancellation Policy

Services cancelled 60+ days prior to arrival

– 20-30% cancellation fees will apply (i.e. deposit will be forfeited).

Services cancelled less than 60 days prior to arrival

– 100% cancellation fees will apply

N.B. Suppliers may apply their own cancellation conditions that may differ from the above

“No Shows” will be charged at 100% of the booking value

Travel Insurance

It is strongly recommended to take out Travel Insurance against cancellation, medical expenses, personal accident, loss or damage to personal property, loss or damage to luggage. Neither ALWAYS AFRICA nor persons acting for, through or on behalf of the Company shall be liable for any loss or damage whatsoever

Refunds

Once the tour has commenced, refunds will not be made for voluntarily missed tours, meals or other special activities. We regret we can make no exception to the charges and strongly recommend that insurance be taken out to cover cancellation fees.

Should suppliers have stricter terms and conditions to the ones mentioned above, these terms and conditions will be applied and will be communicated at the time of booking

Amendments

ALWAYS AFRICA reserves the right to change the itinerary or arrangements, should conditions necessitate, without prior notice. We will offer substitutes of equal value to any scheduled/booked services. 

ALWAYS AFRICA will not be liable for any loss or damage that may be incurred due to changes, omissions or delays before or during the course of the tour caused by technical difficulties, weather conditions, communication breakdowns or events beyond our control.

Should circumstances such as devaluation or fuel surcharges necessitate changes in costs and itineraries, clients would be notified as soon as possible. If such increases are unacceptable, the client may cancel the booking, however, will still be liable to pay cancellation charges as applied by suppliers.

Passports

It is the Client’s responsibility to ensure that their passports are valid for travel and that they are in possession of valid visas for all countries being visited and that all necessary health certificates for these destinations are in order.

ALL VISITORS MUST HAVE THREE BLANK PAGES IN THEIR PASSPORT; IF NOT SUCH A PERSON MAY BE DETAINED AND DEPORTED.

Health

Immunization requirements vary from country to country and up-to-date information should be obtained from your local health department prior to your trip.

We strongly suggest that clients take anti-malaria medication prior to commencing their safaris, should you be entering malaria area. Please consult your doctor for specific medical advice. Please note that if you are arriving into South Africa from a yellow fever zone (e.g. Brazil) you will need to provide proof to the South African authorities that you have had a yellow fever inoculation.

No other medication or inoculations are currently necessary but please check with your health department for any possible changes in health regulations. Clients with specific health problems or requirements must notify us in advance.

Baggage

Depending on airlines and class travelling, typically passengers are limited to one suitcase and one piece of hand-luggage to carry on-board the aircraft. Please do not pack valuables in your checked luggage.

ALWAYS AFRICA cannot be held responsible for loss or damage to baggage and valuables such as photographic equipment, jewelry etc.

In the event that there is not sufficient space in the vehicle or the aircraft for excess baggage, it will be the passenger’s responsibility to transport or store the excess baggage. Luggage storage facilities are available in Johannesburg at an additional cost.

NO valuables should be packed and left in stored luggage.

NOTE: passengers travelling to Botswana, Zambia and Namibia should enquire about baggage requirements and restrictions at the time of booking. For light aircraft travel there is only limited space is available

Airlines

Tour packages may be sold in conjunction with an airline. The passengers’ ticket shall constitute the sole contract between the airline and the passenger.

Liability

ALWAYS AFRICA, agents, operators and/or suppliers of services act only as agents for the suppliers of transportation (whether by plane, car or motor coach), accommodation, food and other services provided to the passenger. ALWAYS AFRICA shall assume no liability for injury, damage, loss, accident, delay or irregularity of any kind occasioned by reason of any act or omission beyond its control, including any act of negligence or breach of contract of any third party such as an airline, train, hotel, restaurant, ground handler, etc… who is to or does supply any goods or services for the tour.

ALWAYS AFRICA is not responsible for any losses or expenses due to delay or changes in schedule, overbooking of accommodation, default in any third parties, sickness, weather conditions, strikes, acts of God, acts of terrorism, war, quarantine, criminal activity, or for any other cause beyond its control.

NOTE:

ALWAYS AFRICA may decline to accept or retain any passenger as a participant on the tour at any time. If any passenger leaves or is removed from the tour, a refund only for refundable unused services shall be made.

Wild Animals

Our safaris may take you into close contact with wild animals. Your safety is our primary concern, your game rangers and guides will brief you accordingly. However, neither ALWAYS AFRICA nor their employees, nor their agents and camp staff can be held responsible for any injury or accident while on safari.

NOTE:

By signing the Tour Contract you are voluntarily participating in these activities with the knowledge of the dangers involved and hereby agree to accept any risks.
